Privacy Policy for Elite Angels Logistics

1. Introduction and Commitment to Privacy

 

Elite Angels Logistics ("we," "us," or "our") is committed to protecting the privacy and security of the information we handle during the provision of medical courier services. We specialize in Urgent Medical Dispatch and Routine Medication Delivery. As we transport sensitive materials, this policy outlines our practices concerning Personal Information and Protected Health Information (PHI).

We operate as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA) and are obligated to comply with its Privacy, Security, and Breach Notification Rules.

 

2. Information We Handle

We collect and handle information necessary to perform our logistics services.

  • Logistics and Contact Information: This includes names, addresses (pickup and delivery), phone numbers, email addresses, and account information for our clients (Covered Entities).

  • Protected Health Information (PHI): This information is contained within the packages, specimens, and documents we transport, such as medical specimens, routine medications, test results, and related medical documentation.

    • Our Role: We are typically not authorized to open or view the specific clinical content of these packages. Our handling of PHI is strictly limited to the necessary functions of pickup, transport, and delivery, and is governed by a Business Associate Agreement (BAA) with our clients.

3. Use of Information​

We use the information we collect solely for the purpose of providing our contracted courier services:

  • Service Fulfillment: To schedule, dispatch, track, and execute deliveries, including Delivering time-sensitive specimens and medications.

  • Communication: To provide updates to the authorized client regarding delivery status or issues.

  • Security and Accountability: To maintain an accurate chain of custody log for all transports, ensuring compliance with regulatory requirements.

  • Legal Compliance: To comply with all applicable federal and state laws, including HIPAA, and to respond to legal process.

4. Security and Protection of PHI

We implement physical, technical, and administrative safeguards to protect PHI as required by the HIPAA Security Rule and our HIPAA/PHI Compliant procedures.

  • Physical Security: Packages containing PHI are secured in locked vehicles and our secure facility in Chesterfield, MO. Access to handling PHI is restricted to authorized, trained personnel.

  • Administrative Security: All drivers and staff are trained on HIPAA policies and procedures and only access PHI on a "need-to-know" basis to perform their specific duties.

  • Technical Security: Digital dispatch and tracking data are protected using access controls and security measures to prevent unauthorized access.

 

 

5. Disclosure and Sharing of Information

We do not sell, rent, or lease PHI or personal information. Information is only disclosed under the following circumstances:

  • To Clients: PHI is shared with the specific Covered Entity that entrusted the delivery to us, as mandated by the BAA.

  • To Subcontractors: If we use authorized subcontractors (e.g., secondary courier services), they are required to sign a BAA and comply with the same HIPAA standards.

  • Required by Law: In response to a valid court order, subpoena, or other legal process.

 

 

6. Individual Rights Regarding PHI​

 

If you are an individual whose medical information we have transported, you must exercise your rights (e.g., the right to access, amend, or request restrictions on the use of your PHI) directly with the Covered Entity (your healthcare provider, pharmacy, or laboratory). Elite Angels Logistics is not authorized to act upon these requests directly.
